Scheduling

Set up a recurring weekly schedule of who comes in when — for your students, your team, or both — then see who actually showed up: the current shift, the day so far, or every session you've ever run.

What it does

A shift is a recurring time block on one day of the week — "Monday, 4:00–5:30 PM, Homework Session" for a student group, or "Monday, 9:00 AM–5:00 PM, Front desk" for your team — with a roster of people assigned to it. Once created, it repeats on that same weekday every week forever; there's no date-specific version to keep editing. Student scheduling lives on the Scheduling tab of the Student Dashboard, and staff scheduling lives in the same spot on the TimeClock Dashboard — the two work identically, just against a different roster and a different kind of check-in. Either one shows its weekly template two ways: a month calendar that projects it onto real dates, and a weekday-by-weekday editor for building it in the first place. Alongside that, a Today's attendance card cross-references who's assigned against who's actually checked in, so you can see at a glance who showed up, who's early, and who never came.

This is a planning and attendance-tracking tool, not a separate check-in method — everyone still checks in and out exactly as they always have, from Live Roster, Clocked In, or the kiosk. Scheduling just watches that same check-in data and lines it up against who was expected.

Setting up your weekly schedule

  1. 1

    Open the Scheduling tab

On the Student Dashboard, it sits between Students and Admin — Staff sees it read-only, and Manager can add, edit, delete, and assign students. On the TimeClock Dashboard, the equivalent tab is Manager-only end to end, including just viewing — your team's own schedule and hours are kept to Managers.

  2. 2

Pick a weekday, then + Add shift

The Weekly schedule section has one tab per day. Choose the day this shift happens on, then click + Add shift.

  3. 3

Set a start time, end time, label, and color

The label is required — it's what shows up on the calendar and the weekly list, so make it something you'll recognize at a glance ("Homework Session," "Front desk"). Pick one of the color swatches to tint that shift everywhere it appears; a center running several shifts a day can give each one its own color to tell them apart instantly.

  4. 4

Save — it now repeats every week

The shift appears immediately in the weekly list and on the month calendar, on every future occurrence of that weekday. Editing or deleting it later changes every future week at once, never just a single date.

The month calendar

Above the weekly editor, a full month calendar projects your recurring shifts onto real dates — every Monday shift shows up on every Monday square, in its own color, with its label and time. Use the ← / → arrows to move between months; today's date is outlined so it's easy to find.

Click any shift on the calendar to open a read-only popup listing exactly who's expected that day. It's a quick way to answer "who's coming in this Thursday" without switching tabs — for editing the shift itself or changing who's assigned, use the weekly editor below instead.

Today's attendance

Right next to the weekly editor, the Today's attendance card shows the current shift (if one's running right now) and the one before it — not the whole day's history, just what's immediately relevant. For the complete record going back further, see Full shift history below.

Each shift shows an In progress or Ended badge, and every assigned person gets one of these:

Checked in / clocked in — green

Shows their check-in or clock-in time, and the matching check-out/clock-out time too once they've left. An arrival that lands within the shift's normal window prints in green on both ends.

Early arrival — accent color

If someone arrives before the shift's own start time, that time prints in blue on the student side or the TimeClock Dashboard's accent color on the staff side, instead of green — everything else about it stays the same.

Late departure — red

If someone leaves after the shift's own end time, that departure time prints in red — a quick way to spot who stayed past the session, or was checked out late.

Anyone assigned but not yet checked in shows "Not checked in yet" while the shift is still running, or "Not checked in" in red once it's ended and they never showed. Click Refresh any time to pull the latest check-ins without leaving the tab.

Show on Live Roster / Clocked In

The Today's attendance card has a Show on Live Roster page switch (student side) or Show on Clocked In page switch (staff side). Turn it on and the same card follows you to that page, splitting it so the roster takes up the left three-quarters and attendance sits alongside it on the right — handy if you're checking people in at a desk and want the day's schedule in view at the same time, without flipping tabs.

This is a per-browser display preference, not a center-wide setting — turning it on doesn't change what anyone else sees, on this device or any other. Turn it off any time and the page goes back to full width.

Full shift history

Click Full history → on the Today's attendance card to open the complete record — every shift, on every date, going back as far as you'd like. Pick a start and end date and search; it defaults to the last 30 days. Student shift history and staff shift history are tracked separately, each on its own history page.

Quick answers

Can a shift be a one-time event instead of a weekly repeat?

Not currently — every shift is tied to a day of the week and repeats indefinitely. Delete it once you no longer need it; that removes every future occurrence, not just one date.

Can Staff accounts view or edit the schedule?

It depends which side. On the student Scheduling tab, Staff can see the calendar and Today's attendance read-only — adding, editing, deleting a shift, and managing its students are Manager-only. On the TimeClock side, Staff Scheduling is Manager-only end to end, including just viewing — your team's own schedule stays visible to Managers alone.

Does Staff Scheduling affect Shift Approvals or the Monthly Report?

No — it's a planning and attendance view only. Approved hours still come entirely from actual clock-ins, backfilled shifts, and a Manager's approval in Shift Approvals, regardless of what's on the schedule.

What if someone isn't assigned to any shift?

They just won't appear on Today's attendance or in shift history — Scheduling only tracks people you've explicitly assigned to a shift. Everyone still shows up on Live Roster / Clocked In and in regular attendance history regardless.

Does deleting a shift erase its past attendance record?

Yes — shift history is generated live from the shift's current definition, not stored separately, so once a shift is deleted it no longer has any occurrences to show, past or future. Everyone's own check-in/check-out or clock-in/clock-out history is untouched either way.

Can two shifts overlap, or run on the same day?

Yes — add as many shifts to a single weekday as you need, each with its own time range, label, color, and roster.
